Events Coordinator & Administrator

We are seeking a highly organised and proactive Events Coordinator & Administrator to deliver high-quality administrative, event, and operational support across the Union. This role plays a key part in coordinating venue operations, supporting events, and ensuring smooth day-to-day office and stadium functions.

You’ll work closely with the Head of Operations and internal teams to help plan, deliver, and enhance events, game days, and business operations, making this a dynamic role suited to someone who thrives in a fast-paced environment.

The Counties Manukau Rugby Football Union was formed in 1955 and encompasses a vast catchment area, including Manurewa Rugby Club in the north and extending down to the Te Kauwhata Rugby Club in the south. The region also spans from Waiuku Rugby Club in the west to Beachlands Maraetai Rugby Club in the east.

The purpose of the Union is to grow, empower and inspire our people through rugby and we are on a mission to be the pride of our community.

Key Responsibilities

Administration & Office Support

  • Act as first point of contact for internal and external enquiries
  • Manage reception duties and day-to-day office operations
  • Prepare meeting minutes and provide executive support to senior leadership
  • Assist with audits, invoicing, IT support, and general administration
  • Coordinate vehicle fleet records, registrations, and compliance
  • Support merchandise operations, stock control, and online store fulfilment

Events, Stadium & Game Day Operations

  • Coordinate game-day logistics, bar operations, staffing, stock, POS systems, and compliance
  • Manage stadium lounge bookings end-to-end (enquiries, sales, invoicing, event delivery)
  • Maintain internal bookings and event calendars
  • Oversee cleaning schedules in line with events
  • Support season membership, ticketing logistics, and corporate ticketing
  • Assist with food vendor coordination and enhance game-day experiences
  • Support event planning and delivery with the Head of Operations

Communications & Digital Support

  • Assist with the Union website and stadium website content updates
  • Support database management and marketing communications
  • Lead preparation of the Union’s annual report
  • Assist with AGM planning and representative team logistics

Marketing & Communications Manager - Part Time Fixed Role

Counties Manukau Rugby Football Union is looking for a dynamic and skilled Marketing & Communications Manager to help elevate our brand, strengthen our community connections and reach , along with delivering exceptional experiences for our fans, partners, and stakeholders. About Us

About the Role

You’ll lead our marketing and communications activity, support fan engagement initiatives, manage media relationships, and contribute to the delivery of events across the region. You’ll also work closely with our Head of Commercial and provide important support to the CEO and Board. Every day will bring variety, challenge, and the chance to make a real impact.

Key Responsibilities

Public Relations & Communications

  • Act as a primary contact for media and maintain strong relationships with journalists and broadcasters.
  • Produce high‑quality press releases, announcements, and stakeholder communications.
  • Ensure consistent, professional messaging across all platforms. 

Marketing & Fan Engagement

  • Develop and execute the annual marketing plan for Counties Manukau Rugby.
  • Implement initiatives that grow fan engagement and enhance the game day experience.
  • Manage and grow our subscriber database with targeted, effective communication.
  • Deliver creative campaigns that strengthen our brand and community presence.

Ticketing & Event Support

  • Oversee all aspects of ticketing, working with our contracted ticketing partner to build events and manage on‑sale processes.
  • Support the planning and delivery of all CMRFU events, ensuring smooth operations and positive experiences.
  • Assist with administrative duties related to events, marketing, and commercial activity.

Commercial Support

  • Work alongside the Head of Commercial to support sponsorship and partnership activity.
  • Assist with fulfilling sponsor obligations and maintaining strong partner relationships.

 Executive & Governance Support

  • Support the CEO during Board meetings, including assisting with minute‑taking and preparing Board materials.
  • Ensure accurate documentation of decisions, actions, and key discussions.

Technical Skills

  • Fully competent in Microsoft Word and Excel.
  • Confident using Adobe Photoshop for design and image editing.
  • Skilled in Canva for producing high‑quality marketing and digital content.
  • Written Communication (Standard High)
  • Must demonstrate exceptional spelling, grammar, and punctuation.
  • Able to produce clear, accurate, and professional written communication across all formats.

 Place of work

  • This role will be based predominantly at Navigation Homes Stadium but will also be off site depending on events and club rugby. This is not a work from home role.
